Writing account notes your teammates will actually read

Good notes are short, dated and decision-focused. A lightweight format that makes any account understandable in two minutes.

Notes are written once and read many times, usually by someone in a hurry. A consistent shape makes them faster to write and far faster to read.

Lead with the decision

Start each note with what changed or what was decided, in one line. Put supporting detail underneath for anyone who needs it.
Mention people directly when you need something from them, and record dates as dates rather than ‘next week’.
Write the note you would want to find six months from now.

Pin what matters

Pin the two or three notes that explain the account — goals, constraints, key relationships — so they stay at the top as new activity arrives.
Archive or summarise long threads once they are resolved. A short, current record is more useful than a complete but unreadable one.
